The monthly close cadence

A clean monthly close happens on or before business day 5. A messy close happens on business day 12 with three rounds of corrections. The difference is the close cadence — the calendar of who does what in what order, every single month.

Day 1 (last business day of the month)

Night audit closes the final day of the month. All revenue posted, all city tax accrued, all departmental statistics finalized. PMS produces month-end occupancy, ADR, RevPAR by segment. This is the source data that everything downstream relies on.

Days 1-3 (first three business days of the next month)

Accounts payable reviews and accrues all invoices that hit during the month but were not yet entered. Payroll closes the month's wage and benefit accruals. Bank reconciliations clear. Inventory counts in F&B and engineering finalize. This is the most error-prone phase — a missing AP accrual produces a department-cost variance that has to be corrected later.

Day 4 (the close)

Controller posts all journal entries: depreciation, prepaid amortization, accruals, intercompany allocations (if part of a chain). General ledger is locked. Preliminary P&L is produced.

Day 5 (review and variance commentary)

GM and controller review the preliminary P&L together. Variance to budget is calculated for every line. Variance commentary is written for any line off by more than the threshold (typically ±3% or ±€10k, whichever is larger). The variance commentary is the management deliverable — not the P&L itself.

A property with a clean close has the close cadence written down and followed. A property with a messy close treats it as something that "just happens" — and pays for the imprecision in lost trust with ownership.
